Software and subscriptions : how to estimate your budget?

List licenses per person, fixed subscriptions and tools billed for use.

Prepare your estimate

To be gathered to cost this item

  • List of tools: management, cash register, office automation, hosting or business.
  • Number of users billed and monthly rate excluding VAT.
  • Annual price, usage levels and renewal conditions.

To be checked to avoid omissions and duplicates

  • A price per user is multiplied by the licenses purchased, not by all employees.
  • Avoid counting a tool included in a global offer.
  • A foreign invoice may require different VAT treatment: check the supplier.

Calculate the monthly budget

List licenses per person, fixed subscriptions and tools billed for use.

Enter the parameters to calculate the budget. Zero means zero expense.

Fictitious example: 3 licenses × €25 per month = €75 per month, or €900 per year.

The budget is distributed at a fixed amount each month. It does not automatically track turnover, headcount, seasons or annual deadlines. It must be recalculated after modifying these assumptions.
