Travel : how to estimate your budget?

Budget for recurring business trips and trips planned to sell or intervene.

Prepare your estimate

To be gathered to cost this item

  • Number of monthly trips and average cost per trip.
  • Transportation, overnight stays and meals included in this cost.
  • Reimbursement rules and supporting documents retained.

To be checked to avoid omissions and duplicates

  • An average cost is a assumption to be documented with identified routes.
  • Check separately the recoverable VAT according to the expenses; the proposed zero avoids a presumed recovery.
  • Do not count fuel, compensation and vehicle costs twice.

Items that may already cover this expense

Check the scope of these items before adding an amount; each expense must only be counted once.

Calculate the monthly budget

Budget for recurring business trips and trips planned to sell or intervene.

Enter the parameters to calculate the budget. Zero means zero expense.

Fictitious example: 3 licenses × €25 per month = €75 per month, or €900 per year.

The budget is distributed at a fixed amount each month. It does not automatically track turnover, headcount, seasons or annual deadlines. It must be recalculated after modifying these assumptions.
